ADMINISTRATIVE ASSISTANT

Position Details:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have a strong background in office management and customer service, with proficiency in various administrative tasks. This role requires excellent communication skills, both verbal and written, as well as the ability to manage multiple priorities effectively. As an Administrative Assistant, you will play a crucial role in supporting daily operations and ensuring a smooth workflow within the office.
This part-time 8 hour/week position is ideal for candidates looking for flexible work hours. Candidate must be willing to work a minimum of 2 days (4 hours/day) and a maximum of 4 (2 hours/day). After the initial training period of 3-6 months, remote work may be optional. However, a minimum of 2 hours/week will continue to be required in office. This position offers potential for increased hours and responsibilities over time, based on performance and business needs.
QUALIFICATIONS

Proven experience in an administrative role preferred.

Proficiency in Google Workspace required.

Experience utilizing an EMR (electronic medical record) system highly valued.

Strong organizational skills with the ability to manage time effectively.

Excellent phone etiquette and customer support skills.

Ability to maintain confidentiality while handling sensitive information.

Strong typing skills with attention to detail for accurate data entry and documentation.

Experience in clerical duties such as filing, calendar management, and general office support.
RESPONSIBILITIES

Client onboarding - Sending intake documents to clients and checking electronic files for completion.

Supplies management – ordering materials and office supplies as needed

File management - Scanning and uploading paper documents to electronic files

Mailing - mailing clinical notes and marketing materials

Tracking – documenting client attendance and sending alerts to clients
-
Records – sending electronic and paper records to other providers as needed

Scheduling - scheduling new clients, arranging coverage during clinician absences, confirming schedule changes, coordinating room reservations

Customer service - addressing client needs and providing assistance.
